Planning a conference call can add even more stress to your already busy workday. Now you can make sure your conference call is most productive by referring to our helpful checklist when you start your conference planning.

1) Make a list of all the people you’d like to be present at the conference & most importantly, check their availability.

2) Communicate any special instructions for services you might need to your conference service provider. (Remember, some conference call providers such as SaveOnConferences.com, provide reservationless conferencing, which means no advanced scheduling is required during your conference planning.)

3) Inform all of your guests of the date and time of the conference call.
(Make sure to specify time zone.)

4) Inform guests of the dial-in numbers & pass codes for your conference call.

5) Create an agenda for the meeting.
(Tip: During your conference planning, do some research to find out what your participants need to address, & set up a timeline for discussing each subject matter. Ask yourself what you’d like participants to take away from the meeting and then create the agenda around that.)

6) Get confirmation of attendance from all participants as soon as possible.

7) Provide all participants with any materials they might need (i.e. the agenda).

At the start of the Conference Call:
8) Find a location where you are unlikely to be bothered during the meeting or be affected by disturbing background noise.

9) Have a list of conference call guests and your agenda in front of you.

10) Have a clock visible to keep track of the time you’re spending on agenda topics.
